How to Capture Leads With an AI Chatbot (Without Annoying Visitors)

6 min read • Updated October 2026

QUICK ANSWER

Let the bot answer first, then ask for a phone number or email only when the visitor shows intent or the bot cannot answer. Send alerts to your email, follow up within the hour and export leads as CSV. Clipaist Agent saves leads automatically and merges repeat enquiries within 24 hours.

A chatbot that only answers questions is a cost saver. A chatbot that also captures leads is a sales tool. The difference is timing and wording: ask too early and visitors leave, ask never and you lose them.

Answer first, ask second

The best moment to ask for contact details is right after you have helped. “Want me to have someone confirm availability? Share your phone or email.” People who just got a useful answer are far more willing than people hit with a form on arrival.

The second best moment is when the bot cannot answer. Instead of a dead end it offers to take details and pass the question to you. That converts a failure into a lead.

Make the reason clear

Visitors share details when the reason is concrete: confirm a booking, send a quote, check stock. Avoid asking for a name, phone, email and company at once. One contact method is enough; you can collect the rest in your follow-up.

Speed of follow-up decides the result

Set the lead-alert email in Settings so every new lead reaches you instantly. Reply within the hour when you can, quoting the question that triggered the lead, which appears next to it in the Leads tab. A personal message that references what they asked feels like service, not marketing.

The agent saves one lead per contact within a 24-hour window, so you are not flooded with duplicates when someone writes three times.

Use the data

Export leads as CSV for your own spreadsheet or CRM import. The unanswered-questions list is a second lead source of a different kind: it shows what customers want that your site does not say. Fix those gaps and conversion rises for everyone.

Privacy and trust

Say that the chat is handled by an AI assistant. Collect only what you need, keep it only as long as you need it and delete leads on request. Chat transcripts are deleted after the retention period you choose in Settings, 90 days by default, and leads stay until you delete them. If you operate under GDPR or similar rules, mention data handling in your privacy policy.

QUICK TIPS

  • ✓ Ask for one contact method, not four fields.
  • ✓ State why you want it: confirm a booking, send a quote.
  • ✓ Follow up within the hour and quote their question.
  • ✓ Delete leads you no longer need.
